1. Acceptance of Terms

By accessing or using WeddingRunbook ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Service.

2. Description of Service

WeddingRunbook is calendar-first operations software for wedding photographers and videographers. The Service comprises the web application, the iOS companion app, and a client portal you can share with each couple. It provides tools for managing events, tasks, timelines, invoices, quotes, questionnaires, calendar integrations, and client communication via email.

3. Account Registration

You must provide accurate and complete information when creating an account
You are responsible for maintaining the security of your login credentials
You are responsible for all activity that occurs under your account
You must notify us immediately of any unauthorized use of your account

4. Acceptable Use

You agree not to:

Use the Service for any unlawful purpose
Attempt to gain unauthorized access to any part of the Service
Interfere with or disrupt the Service or its infrastructure
Upload malicious content or files
Share your account credentials with others
Use the Gmail integration to send unsolicited bulk email (spam) or to harass individuals
Use automated email features to impersonate another person or organisation

5. Your Data

You retain ownership of all data you enter into WeddingRunbook, including emails sent through any connected Google account. We do not claim any intellectual property rights over your content. You grant us a limited licence to store and process your data solely to provide the Service.

Your clients' information - names, contact details, questionnaire answers, messages and files - is yours to collect and yours to answer for. You confirm that you have a lawful basis to enter it and to invite couples into the client portal, and that you will honour their requests to access, correct or delete it. We process it only on your instructions, as described in our Privacy Policy.

You decide how long each gallery stays online, and for how long its full-size files can be downloaded. When that download window ends, the full-size files leave the Service; to offer them again later, you upload them again. When a gallery's end is set to "Delete the files", everything in it is removed 30 days after the gallery goes offline.

6. Third-Party Integrations

The Service integrates with third-party services including Google Calendar and Gmail. Your use of these integrations is subject to the respective third party's terms of service and privacy policy. You may disconnect integrations at any time from Settings → Integrations.

Google Calendar

When you connect Google Calendar, you authorise WeddingRunbook to create, update, and delete calendar events on your behalf. We only act on your explicit instruction and do not read your existing calendar data. If you add a client as an attendee to an appointment, Google sends them the invitation from your calendar, and you are responsible for having their consent to do so.

Gmail

When you connect Gmail, you authorise WeddingRunbook to send emails from your Gmail address on your behalf. By enabling this integration you:

Confirm that you have the right to use the connected Gmail account for business communication
Accept responsibility for the content of automated emails sent through your account
Acknowledge that emails sent via this integration will appear to come from your Gmail address
Agree to use the feature in compliance with applicable anti-spam laws (including the EU's ePrivacy Directive and Bulgaria's Electronic Communications Act)

WeddingRunbook's use of Gmail data complies with the Google API Services User Data Policy, including the Limited Use requirements. We do not use Gmail data to serve advertisements, and we do not allow human review of email content except as required by law or to investigate a reported security incident.

7. Payment & Subscriptions

Every account starts with a 14-day free trial of the full Service. No card is required to start it, and nothing is charged when it ends unless you choose to subscribe.

After the trial, the Service costs $9 per month or $90 per year, in US dollars. Subscriptions are billed through Stripe, which sells the subscription as the merchant of record, and renew automatically at the end of each billing period until you cancel. Founding members keep the Founder rate for the life of their account, even after a lapse.

Your plan includes 20 GB of gallery storage. More storage is one add-on at a time: 100 GB for $8, 500 GB for $35 or 1 TB for $60 a month, in US dollars, billed through Stripe alongside your subscription.

Prices are shown before tax. Because Stripe is the merchant of record, Stripe works out and adds any VAT, GST or sales tax that applies where you are, may charge you the equivalent in your local currency, and issues the receipt and the invoice for every payment. If you buy as a business, you can give your tax number at checkout so it appears on the invoice. Your card statement shows the charge as LINK.COM* followed by WeddingRunbook.

You can cancel at any time from your account settings on the web. Cancellation takes effect at the end of the period you have paid for, and you keep full access until then. Refunds are handled case by case - contact us at studio@weddingrunbook.com.

If the trial or a paid period ends without an active subscription, access to the Service - including your clients' portals - is paused until you subscribe. Your data stays in place: we keep a lapsed account's data for 3 years and then delete it permanently. Subscribe again within that time and everything is where you left it.

You can export your data at any time from your account settings, including while your account is paused.

8. Availability & Modifications

We strive to maintain high availability but do not guarantee uninterrupted access. We reserve the right to modify, suspend, or discontinue any part of the Service with reasonable notice. The availability of Google integrations depends on Google's API availability and policies, which are outside our control.

9. Limitation of Liability

To the maximum extent permitted by law, WeddingRunbook shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including any damages resulting from emails sent or received through the Gmail integration. Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim.

10. Termination

We may terminate or suspend your account at any time for violation of these Terms, including misuse of the Gmail integration. You may close your account at any time from Settings → Account, on the web or in the iOS app, or by contacting us. Deletion is executed after a 7-day window, after which your data, including your clients' portals and their content, is permanently removed. Revoking Google OAuth permissions does not automatically close your WeddingRunbook account.

11. Changes to These Terms

We may update these Terms from time to time. Continued use of the Service after changes constitutes acceptance of the updated Terms. We will notify users of material changes via the Service or email.

12. Governing Law

These Terms are governed by the laws of the European Union and the Republic of Bulgaria. Any disputes shall be resolved in the courts of Sofia, Bulgaria.
