Where Studio Ninja stands in 2026
Let's be fair to it first, because most "alternatives" pages aren't. Studio Ninja is a photography-specific CRM with pricing that runs $16 (Starter), $27 (Pro), and $40 (Master) per month billed annually as of August 2026, and every tier - even the cheapest - includes free data migration and one-on-one training. That onboarding policy is genuinely generous, and it's a big part of why the product became a default recommendation for working photographers.
It was acquired by ImageQuix in December 2023 and is now part of Captura. Unlike some acquisitions in this space, the product is still actively developed and still sold on its own terms. This is not a Táve situation, where the standalone product effectively disappeared into a bundle.
So why do photographers search for alternatives? Three reasons come up again and again. First, the caps: Starter allows 5 active jobs, 1 user, and 1 contact form, which makes it a trial tier in practice - a working wedding photographer needs Pro. Second, galleries: Studio Ninja has no built-in gallery delivery, so image delivery means a second subscription and a second login. Third, the acquisition itself: after watching Táve become VSCO Workspace, some photographers now treat any change of ownership as a reason to keep their options open. Whether that caution is warranted here is debatable - two and a half years on, Studio Ninja is doing fine - but it drives the search all the same.
One disclosure before we start: one of the tools below, WeddingRunbook, is our own product. We flag it again in the table and in its own section, and we've tried to be as blunt about its limits as everyone else's.
First: do you actually need to switch?
Honestly - maybe not. If you're on Pro, your job volume fits, and you're content pairing Studio Ninja with a gallery platform you already like, switching buys you very little. The product is actively developed, the price is reasonable, and migration has real costs in time and attention that no vendor's "free migration" offer fully removes. Moving mid-season is how bookings fall through cracks.
The reasons that genuinely justify a move: you keep bumping into tier limits and resent paying up to escape them; you want galleries, proofing, and client communication in one tool instead of a stack of subscriptions; or you've decided, as a considered position rather than a panic, that you'd rather build on a product whose ownership story you're comfortable with. Sprout Studio - if missing galleries is your reason
The most direct answer to Studio Ninja's biggest gap: Sprout Studio bundles the CRM with galleries, album proofing, and email marketing, from $19 (Lite) to $69 (Unlimited) per month. If you're currently paying for Studio Ninja plus a separate gallery service, the consolidated math can genuinely work out. Two things to check before you commit: the lower tiers carry caps - Lite allows 10 shoots and galleries with 50GB of storage, Basic 20 and 100GB - so price the tier your real volume needs. And there's no annual discount; the toggle on its pricing page switches between USD and CAD, not monthly and yearly, which is worth knowing if you're used to Studio Ninja's annual billing.
Iris Works - the same shape, simpler and cheaper
A photographer-specific CRM from $14.95 per month (tiers run to $49.95), with free migration and a 14-day trial. It deliberately does less than Studio Ninja rather than more: there's no gallery delivery (it integrates with Pic-Time and ShootProof instead), you get one brand per account, and the tier design has a quirk - the Pro tier makes you choose between online booking and email marketing, and you only get both on Pro Plus. If Studio Ninja always felt like slightly more machine than your business needed, this is the direction to look; if you're leaving because of caps, read that tier grid carefully first.
HoneyBook - the polished generalist
The slickest client-facing experience of the group, with AI features included and - notably, if Studio Ninja's caps are your sore point - unlimited clients and projects on every tier. Pricing runs $29 (Starter), $49 (Essentials), and $109 (Premium) per month billed yearly. The trade-offs: it's built for all independent businesses, not photographers, so wedding-shaped workflows are yours to construct; the Starter tier withholds the scheduler and automations, caps you at 2 lead forms, and keeps "Powered by HoneyBook" branding on client touchpoints; and card processing fees come on top of the subscription. Essentials at $49 is the tier to price - that's where the scheduler and automations live.
Dubsado - for people who want more machine, not less
Some photographers leave Studio Ninja in the opposite direction: they want deeper customization, not a lighter tool. Dubsado is the strongest option there - forms, workflows, and client portals you can shape almost without limit, at $35 (Starter) or $55 (Premier) per month with unlimited clients on both tiers and a generous 21-day full-featured trial. Go in with open eyes: scheduling and automations live on the pricier Premier tier, it isn't photography-specific, and even Dubsado's own pricing FAQ concedes that diving into complex business tools "can be a daunting task." Budget real setup time before your first wedding runs through it.
17hats - one plan, no homework
A single all-inclusive plan at $60 per month (or $600 per year). After comparing four vendors' tier grids, that simplicity has real appeal: no cap tables, no feature matrix, no wondering which plan you'll outgrow. It's solid general business software for solopreneurs rather than a photography tool, and a few conveniences are paid add-ons on top of the flat price. The right fit if predictable pricing matters more to you than a photo-native workflow - and the wrong one if $60 is more than your software budget wants to carry.
VSCO Workspace (formerly Táve) - the changed one
Táve used to be the obvious "more powerful than Studio Ninja" answer. It still exists - as VSCO Workspace - but since June 2026 new customers can only get the full version inside the VSCO One membership at $499.99 per year, billed annually only, with no free trial (a 30-day refund window instead). Legacy Táve plans keep renewing at their existing pricing. If you're leaving Studio Ninja partly out of acquisition wariness, note the contrast: Studio Ninja's acquisition left the product sold as before, while Táve's ended standalone sales entirely. WeddingRunbook - a different answer to the same problem
Full disclosure: this is our product, so read accordingly. WeddingRunbook isn't trying to out-feature Studio Ninja. Technically it's a CRM too - clients, quotes, invoices, pipeline - but it's built calendar-first, around the event rather than the sale, for wedding photographers and videographers working solo or as a team. Weddings come first, but any dated event - portraits, baptisms, proms - follows the same lifecycle from inquiry to delivery, and the season lives on one calendar: what's happening, what's due, and whether you have room for more work. There are no job caps on the one plan, which is a pointed contrast to the five-active-jobs Starter tier that sends Studio Ninja users shopping. How to migrate without losing your season
- Get your data out first: contacts, jobs, quotes, invoices, and email templates.
- Move in the off-season if you can; never mid-booking-rush.
- Migrate active and future bookings first - archives can follow later.
- If your destination advertises free migration (Iris Works does), use it rather than importing by hand.
- Run old and new in parallel for one or two real bookings before cutting over.
- Rebuild only the workflows you actually used - the list is usually shorter than you expect.

Is Studio Ninja shutting down after the acquisition?
No. Studio Ninja was acquired by ImageQuix in December 2023 and is now part of Captura, but as of August 2026 it remains actively developed and sold, and still offers free migration and one-on-one training on every tier. The acquisition changed the owner, not the product's availability.
What is the cheapest Studio Ninja alternative?
Among established photographer-specific tools, Iris Works has the lowest entry price at $14.95 per month. Do I actually need to leave Studio Ninja?

If the Pro tier fits your volume and you are happy pairing it with a gallery service you already like, staying is a perfectly defensible choice - the product is actively developed, and any migration costs real time and attention. The stronger reasons to move are hitting the caps, wanting galleries inside the same tool, or a considered decision to consolidate your stack elsewhere.
